Everyone Needs a Copilot ("we," "us," or "our") operates Convoco, accessible at convocoai.com. This Privacy Policy explains what information we collect, how we use it, and what rights you have regarding your data.
Convoco is offered through approved access and may process account, relationship, meeting, document, integration, security, and support information when an authorized company enables those features.
What we collect
We may collect your email address and account details, plus information submitted or connected through Convoco, such as calendar events, participants, notes, transcripts, documents, and relationship context.
We collect your email address when you:
- Sign up to be notified when Convoco launches
- Subscribe to receive product updates and announcements
Payment-card details are handled by the payment provider when paid services are enabled; we do not intentionally store full card numbers.
How we use your information
We use information to:
- Operate, secure, support, and improve Convoco
- Provide relationship preparation, capture, review, and document features
- Synchronize integrations you authorize and respond to requests
- Send product updates when you have opted in to them
We will not use your email for anything outside of this scope without asking you first.
How we do not use your information
We do not:
- Sell your email address or personal data to third parties
- Share relationship data with advertisers
- Use relationship data for unrelated advertising
Third-party services
Depending on the feature, we may use service providers such as Brevo, Cloudflare, Google, Apollo, OpenRouter, hosting, storage, database, security, and monitoring providers. OpenRouter is the current default AI routing provider for governed model features; other providers are used only when a separately enabled feature or integration requires them. Providers receive only the information needed for the relevant service and operate under their own terms and privacy policies.
Google Workspace data
When you connect a Google account, Convoco accesses only the categories you authorize for enabled features: basic account identity; calendar events and attendees; contacts and directory entries; Google Drive files used to locate or import meeting transcripts; and, only when you enable email context, Gmail subject lines, participants, dates, and response timing. Convoco does not request, use, or store Gmail message bodies, attachments, or body-derived preview snippets.
We use this data only to provide user-facing relationship features you request, such as calendar synchronization, meeting preparation, person-specific correspondence context, transcript capture, and reflection. We do not sell Google user data, use it for advertising, or use it to train or improve generalized AI models. Google data is shared only with processors needed to provide and secure those features. OpenRouter requests are constrained to providers that deny data collection for model training.
OAuth credentials are encrypted at rest. Connected-account data can be disconnected through the product, and privacy or deletion requests can be sent to the support address below. Convoco's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Brevo (email delivery)
We use Brevo to manage our email list and send product updates. When you sign up, your email address is stored in Brevo. Brevo acts as a data processor on our behalf and is subject to their own privacy policy. You can learn more at brevo.com/legal/privacypolicy.
Cloudflare (security and infrastructure)
Our website is protected by Cloudflare, which provides security, performance optimization, and bot protection. Cloudflare may process request data (such as IP addresses) to protect the site from abuse. We also use Cloudflare Turnstile on our signup form to prevent automated spam submissions. Cloudflare's privacy policy is available at cloudflare.com/privacypolicy.
Cookies
This website uses minimal cookies. We do not use tracking cookies or advertising cookies.
Cloudflare Turnstile, used on our newsletter signup form, may set a cookie as part of its bot-detection process. This cookie does not track you across other websites and is strictly functional.
How to unsubscribe
Every email we send includes an unsubscribe link at the bottom. Clicking it will immediately remove you from our list. You can also contact us directly at support@convocoai.com and we will remove you manually within 48 hours.
Data retention
We retain your email address on our list until you unsubscribe. Once you unsubscribe, your data is removed from our active list. Some residual data may remain in Brevo's system logs for a limited period as required by their data handling practices.
Your rights
Depending on where you are located, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Withdraw consent at any time

Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "last updated" date at the top of this page. We will not make material changes without notifying subscribers by email.
